I value your privacy and will make all reasonable effort to keep your personal data that you share with me, safe and secure.
You can use my website without the need to provide any personal information however, when enquiring about my services or booking my services, the processing of some personal data will become necessary.
I have written my Privacy & General Data Protection Policy in the clearest, simplest possible way to tell you how I collect, process, use and store your data.
Who am I?
I am Yolanda Goncalves, data controller of your personal information, and Owner (Chief in Charge) at Arrows of Dreams Photography and it's personal profile and branding division, Creative Profile Photography.
What information do I collect and how do I collect it?
When you decide to enquire about or book my services, I will need to collect some personal details from you, maybe even your favourite colour, as getting to know you will help me provide you with the best service and photography experience with me. Below is a brief explanation of the kind of data that I will collect and the ways in which I may collect it:
Personal information: Your name and surname, address, telephone and/or mobile phone number, email address as well as names, birth dates, gender and other relevant details about your family or other participants in the photo session and any other information you choose to share with me during any of our chats, written or verbal. This includes details provided via questionnaires and online contact forms.
Payment information: When booking in with me, payment will become necessary for my services or products, or else I will not be able to afford my children's music or swim lessons. I usually accept payment via bank transfer however, there may be some instances when I would need to collect payment from you for example via card machine, and would need information about your credit/debit card and bank account in order to process payment.
Photographs: Yes, you read that right! Photographs which may identify you or your family or other members participating in your photo session, are considered personal data! So it goes without saying that, in order for me to do my job and provide you with beautiful images, I would need to photograph you!
Three ways I may obtain this data from you;
Anonymously: this may include your IP address, whether you are using a computer, phone or tablet, the country in which you are located, which pages on my website you have accessed and how long you have viewed the lovely pages on my website for. This helps me to analyse whether I am reaching my target audience.
Directly: this will be personal information (see Personal Information above) I collect from you when you enquire or book in with me, during our meetings and your photo session, to enable me to provide you with the best service.
Third Party: this may be needed when you are booking in with me and payment takes place using an online method, card information which may be entered when using a card machine (this will go via the third party card processor) and processing of any credit/debit card transactions. I will not have this information on file myself but will only be notified by the third party that a transaction has taken place, with your name, date of payment and the amount paid by you.
How do I use your personal data?
To to the job you've hired me to do, I would need to be able to contact you and plan your photosession. This is the main purpose for collecting your personal data. I may also use it to contact you to seek your feedback on the services that I provide, or to notify you of any changes to my services. If you have booked with me, I may send you a welcome package, price guides or tips on preparing for your session via post, email or text. This is part of the experience and service excellence I aim to provide you as my valued client.
As a photographer, I rely on showing my work to potential clients like you. Therefore, with your consent, I may use your photographs to promote and advertise my business on my website, in printed publications, photography competitions, promotional materials, presentations, other digital advertising and social media platforms such as but not limited to Facebook, Instagram and Pinterest.
I do not have a newsletter, but may from time to time contact you to let you know of any special offers or events I may have.
How long do I keep your data?
I will keep your personal data for as long as reasonably necessary and only for the purposes set out in this Policy. I keep your personal data for at least 3 years after your photography session and your digital image files from your session for 5 years after your session (subject to any unexpected, unforseen loss of data). After these periods expire, I will securely destroy your personal data according to applicable laws and regulations.
When do I share personal data?
I may also need to share your personal data with third party service providers to enable them to perform their duties to me and only to perform the servicess I hired them to do. These may include payment or card processing services, IT suppliers, software suppliers and contractors (e.g. web and data hosting providers, email services providers, my accounting software provider or delivery companies), specialist service providers such as framers, photography labs, printers and book binders.
I will never sell your personal data to any third parties.
Where do I store, process & secure personal data?
Photographs are my business so it is important that I store and create back-ups of my client's images. All images are stored on a server in folders with client's names and will be kept for a minimum of 3 years (subject to any unexpected, unforseen loss). Images are backed up on a separate external hard drive which is connected to the network to enable me to back up files, and may also be backed up to cloud storage (Apple iCloud). Once you have completed your order with me, your images will be removed from my main storage server by moving it to another external hard drive, CD, DVD or USB.
I also keep hardcopies of our signed agreements and other contracts and invoices. These are kept in a lockable file box to which only myself have a key.
I take all reasonable steps to ensure that any personal data you provide me with (including your digital image files) are safely and securely stored and protected against loss, misuse or alteration of any information. My website is SSL protected however, any information provided over the internet can never be guaranteed as 100% secure. Therefore, while I strive to do my best to protect your personal data, I cannot guarantee or be kept liable for any security of any information you transmit to me, and you do so at your own risk.
Your Rights to Data Information & Removal
You have the right to know which personal data I keep of you. Clients can request to be informed of the details of any data and images held by Yolanda Goncalves (Arrows of Dreams Photography & Creative Profile Photography). You can request this by emailing me at email@example.com and I can provide you electronically with a copy.
Clients also have the right to ask me to correct or complete any innaccurate or incomplete personal data I may have of you.
You have the right to restrict processing (e.g. keeping some of your images off social media etc.)
It is also a client's right to ask me to erase or withdraw consent at any time. This will not affect the lawfulness of processing of your data before I received notice that you wished to withdraw your consent. Please note that this will include deleting all of your digital image files permanently too!
Linking to other websites / third party content / social media sharing
My website and social media pages such as Facebook, features social sharing buttons which help share content from web pages to social media platforms. You use social sharing buttons at your own discretion and accept that doing so may publish content to your own social media profile feed or page or those of your friends. I cannot accept any liability for the use of social sharing, and it is your responsibility as the user to read the privacy and usage policies of the social media platforms you choose to use or share content from/with.
